Buildx ERP – Budget Cost Module Tutorial
🧭 Overview:
The Budget Cost module is designed to set the initial budget for a project, ensuring all planned expenditures stay within financial limits and help prevent cost overruns. Every item saved in the Budget Cost will later be used as the basis for Purchase Requests (PR) and Purchase Orders (PO) in the procurement workflow. By defining expected quantities and prices early, project managers can control purchasing decisions and ensure alignment with the approved budget.
✅ Step-by-Step Guide:
1. Access the Budget Cost

Go to Projects.

Select the desired project (e.g., Test - Ronald).

Click on the Budget Cost tab at the top menu.
2. Filter by Category
You can filter the budget items using:

Item (Material or service to be budgeted)
-
Group (e.g., Structural, MEP, Architectural)
-
Location (e.g., Building A, Floor 1, etc.)
➡️ Click + Location to add specific location filters.
➡️ Click Reset to clear the filters.
3. Enter Item Details
In the spreadsheet table below:
Column | Description |

Item Code | Unique code for the budget item |
Item | Name or description of the item (e.g., Concrete, Rebar) |
Group | Item category (e.g., Structural, Electrical) |
Location | Project location segment (e.g., 1st Floor) |
Unit | Unit of measurement (e.g., m³, pcs, m²) |
Original Volume | Planned/estimated volume from BOQ |
Current Volume | Updated/actual volume used or needed |
Price | Price per unit |
Total Current | Calculated: Current Volume × Price |
Total Price | Final approved amount for the item (can be the same as Total Current) |
📝 Note: Green and white alternating rows help differentiate entries visually.
4. Save the Budget Items
Once you've input or updated the data:

Click the blue Save Items button on the top right of the table.
5. Locking the Budget

Once your budget is finalized, click the Lock 🔒 button.

This prevents further editing unless unlocked by an admin or project manager.
6. Exporting Data

Click Export to download the data for reporting or backup (usually available in Excel or CSV format).

Regularly update Current Volume and Price for real-time cost tracking.

Use Group and Location filters to manage large projects efficiently.

Lock the budget after final approval to prevent accidental changes.
